How to Plan a Year-End Party in Hanoi: A Complete Checklist

The year-end party (tiệc tất niên) is the biggest internal event of the year for most companies in Vietnam. It is where leaders thank the team, top performers get recognized and everyone celebrates before Tet. It is also the event most likely to be planned in a rush, because November, December and January are the busiest weeks of the year for venues, bands and MCs in Hanoi.

This checklist walks you through the whole process, from the first budget conversation to the morning after, so you can book early, avoid the common traps and give your team a night they remember.

1. Start eight to twelve weeks ahead

Popular ballrooms, rooftop venues and resort spaces in Hanoi fill their Friday and Saturday nights in December and January months in advance. The same goes for the best MCs, bands and dancers. Starting early gives you real choices instead of whatever is left.

A realistic timeline looks like this:

  • 12 to 8 weeks before: agree budget, date, headcount and purpose; shortlist venues
  • 8 to 6 weeks before: book venue, choose theme, confirm entertainment and MC
  • 6 to 3 weeks before: design stage and backdrop, plan awards, send invitations
  • 3 to 1 weeks before: final headcount, run of show, seating plan, rehearsal schedule
  • Event day: setup, technical rehearsal, the party, take-down

2. Agree the purpose before the theme

Ask leadership one question first: what should people feel when they leave? Proud of the year, closer as one company, recognized for their work? The answer shapes everything else, from the length of the CEO speech to how much time you give to awards versus the dance floor.

3. Set the budget and what it covers

Year-end party budgets usually include the venue and food, drinks, stage and decoration, sound and lighting, MC and entertainment, awards and gifts, lucky draw prizes, transport and a contingency of around ten percent. Decide early whether the budget is per person or a total, and which items are fixed.

A tip from experience: guests remember the atmosphere, the awards moment and the show far more than the number of dishes. Spend where people will feel it.

4. Choose a venue that fits the program

Capacity is only the start. Check ceiling height for the stage and LED screen, the space for a dance floor, load-in times for your stage builder, parking or coach drop-off, and whether the venue allows outside AV and decoration. If you want an outdoor party, agree the wet weather plan with the venue before you sign.

We cover this in more detail on our conference venues page.

5. Pick a theme people can join in

The best themes are easy to dress for and photograph well. Popular choices in Hanoi include Great Gatsby, Indochine, Hollywood red carpet, masquerade and your own company story. Send the dress code with the invitation, at least three weeks ahead, so people have time to prepare.

6. Build the program minute by minute

A typical evening runs about three and a half hours:

  • Welcome drinks and photo wall
  • Opening performance and CEO welcome
  • Dinner with light entertainment
  • Awards and recognition
  • Team games and lucky draw
  • Band, dance floor and closing

Write a run of show with times, who is on stage, music cues, slides and microphones. Share it with the venue, the AV team and the MC.

7. Plan the stage, sound and lighting together

The stage, backdrop, lighting and LED screen should be designed as one picture. Ask for a 3D mock-up before anything is built. Make sure the sound covers the back of the room and that there are enough wireless microphones for awards and games. See our pages on stage and party setup and sound, lighting and LED screens.

8. Make the awards moment count

Awards are often the emotional high point of the night, and also the part most likely to drag. Keep each award short, prepare walk-up music, have trophies and certificates lined up in order backstage, and brief presenters in a rehearsal before guests arrive.

9. The details planners forget

  • Dietary requirements and a vegetarian option at every table
  • Transport home, especially if drinks are served
  • A plan for guests who arrive late or leave early
  • Photographer brief with a list of must-have shots
  • Bilingual scripts if you have international staff
  • Who signs off changes on the night

Frequently asked questions

When is the best date for a year-end party in Hanoi?

Most companies hold it between mid-December and the week before Tet. Fridays and Saturdays go first, so consider a weeknight if you are booking late.

How long should a year-end party last?

About three to four hours works well for most companies, including dinner, awards, games and dancing.

Can we combine team building with the year-end party?

Yes, and it works very well. Run a team building program in the afternoon, then celebrate the result at the party in the evening.

Do we need a bilingual MC?

If you have international staff or guests, yes. A bilingual MC keeps everyone included without repeating every line.
