How to Plan a 2-Day Conference in Hanoi: A 6-Month Timeline
A two-day conference in Hanoi brings together a lot of moving parts: a venue, hotel rooms, speakers, AV, interpreters, meals, a team activity and often a gala dinner. Most of the problems we see on event day start months earlier, with a late venue booking or a decision nobody made in time.
This timeline shows what to do and when, from six months out to the day after the event. Use it as a checklist and adjust it to the size of your conference.
6 months before: set the foundations
- Define the purpose, audience and expected number of guests
- Set the budget, including a reserve of around 10 percent for changes
- Choose dates; avoid the weeks around Tet and check public holidays
- Shortlist venues and visit at least two
- Decide whether the conference will include team building, a city experience or a gala dinner
Hanoi’s busiest season for corporate events runs from October to January, including year-end parties. If your dates fall in this period, book the venue and hotel rooms early. Our guide to conference venues in Hanoi explains the main options.
4 to 5 months before: lock in the big pieces
- Sign the venue contract and block hotel rooms for guests
- Confirm keynote speakers and their travel
- Choose the AV and stage supplier and agree on the room layout
- Decide on interpretation if you have international guests
- Plan the program outline for both days
3 months before: build the program
- Draft the full agenda with session times and speakers
- Plan breaks, lunches and energizers
- Book the team building program or city experience
- Plan the gala dinner: theme, entertainment and awards
- Open registration and collect dietary needs, travel details and ID or passport details if needed
A team session in the afternoon of day one, or a street food trail on the first evening, helps guests from different offices connect before day two.
6 to 8 weeks before: get the details right
- Confirm the stage design, backdrop and branding
- Order printed materials, badges and signage
- Arrange airport pick-ups and transfers for guests and speakers
- Prepare visa letters for international guests if needed
- Plan the menu for each meal with the venue
3 to 4 weeks before: rehearse on paper
- Write the run of show minute by minute
- Collect presentations and videos from speakers
- Send guests a pre-event information pack: agenda, venue, dress code and weather
- Confirm final numbers with the hotel and venue
1 week before: final checks
- Visit the venue again with your AV supplier
- Test the presentation files on the venue equipment
- Brief the event team, hosts and interpreters
- Prepare a contingency plan for weather, delays and no-shows
The day before: set up and rehearse
- Stage, lighting and sound setup
- Full technical rehearsal with speakers and hosts
- Registration desk ready with badges and guest lists
- Check signage from the hotel lobby to the conference room
Our sound, lighting and LED and stage setup pages explain what a full setup involves.
Event days: run the show
- One stage manager controls timing and cues
- Keep one person free to solve problems as they come up
- Use energizers when energy drops after lunch
- Take photos and short videos for internal communication

After the event: close the loop
- Send a thank-you message with photos and key slides
- Run a short feedback survey
- Settle invoices and review the budget
- Write down lessons learned for next year
Tips for conferences in Hanoi

- Plan indoor options for summer heat and rain
- Offer simultaneous interpretation if a large share of the audience is not comfortable in English
- Use the city: an evening water puppet show or cyclo tour gives international guests a memorable taste of Hanoi
