Rainy Day Team Building in Hanoi: Your Backup Plan

You have booked the venue, briefed the team and printed the team T-shirts. Then the forecast shows rain. In Hanoi this is not a rare event: summer brings sudden afternoon storms, and even the cooler months can turn grey and wet. A good outdoor team building day does not depend on luck. It depends on a backup plan that is ready before anyone needs it.

Here is how we plan rain-proof team building days in Hanoi, and what you should ask for when you book.

When does it rain in Hanoi?

Northern Vietnam has a hot, wet season from roughly May to September, when short and heavy afternoon showers are common and storms can arrive from the sea. From October to April the weather is cooler and drier, but light drizzle and grey days are common in late winter and early spring. In practice, every outdoor program in Hanoi should have a wet-weather option, whatever the month.

Plan A, B and C: build the backup into the booking

The most common mistake is treating rain as a problem to solve on the day. By then, other groups have taken the covered spaces and suppliers are busy. Decide your options when you book:

  • Plan A: the full outdoor program as designed
  • Plan B: the same program moved to a covered area at the same venue, such as a hall, a large tent or a covered terrace
  • Plan C: a different, fully indoor program at the same venue or in a hotel ballroom in Hanoi

Ask the venue to confirm in writing which covered spaces are held for you and until what time you can switch at no extra cost.

Choose activities that can move indoors

Some team building formats work almost as well under a roof. These are good choices when the forecast is uncertain:

  • Construction and invention challenges, where teams build a bridge, a machine or a structure from a kit
  • Business and strategy games, where teams trade, negotiate and plan
  • Creative challenges such as making a short film, an advert or a team song
  • Escape games that run on tables and boards
  • CSR builds, where teams assemble something to donate, such as toys or bicycles

Formats that need open fields, water or long running routes are harder to move. If your main activity is one of these, keep a strong indoor alternative ready. You can browse all formats in our team building programs.

Set a clear decision time

Agree on a time and a person who will make the call. For a morning program, we usually decide by 6:00 a.m. on the day, or the evening before if the forecast is clearly bad. Once the decision is made, one message goes to all participants with any changes to timing, clothing or meeting point.

Prepare your guests

  • Ask participants to bring a light rain jacket and a change of shoes
  • Have ponchos ready at the venue
  • Keep towels and dry T-shirts for water-based activities
  • Plan hot drinks and snacks for cooler, wet days

Protect the equipment and the program

Rain affects more than people. Sound systems, banners, printed materials and electronic devices all need cover. A professional team will bring waterproof boxes, plastic covers for speakers and laminated game cards. For evening events, check that the sound and lighting supplier has a plan for outdoor setups in the rain.

Do not forget safety

Some weather is not just inconvenient. Thunderstorms, strong winds and slippery ground can make activities unsafe. Kayaking, high ropes and activities near water should stop when lightning is near. A good facilitator will pause the program and move everyone under cover without hesitation, and your backup plan makes that decision easy.

Turn the rain into a story

Some of the best team days happen in bad weather. A team that finishes a challenge soaked and laughing often remembers it longer than a sunny day. With the right preparation, rain becomes part of the experience rather than the end of it.

Frequently asked questions

What is the rainy season in Hanoi?

The wettest months are roughly May to September, with heavy afternoon showers and occasional storms. October to April is drier, though drizzle is common in late winter.

Can an outdoor team building program be moved indoors?

Many can. Construction, strategy, creative, escape and CSR programs work well indoors. Programs built around open fields or water need a separate indoor alternative.

When should we decide to switch to the backup plan?

Set a decision time in advance, usually by early morning on the day or the evening before if the forecast is clearly bad.

Does a backup plan cost extra?

It depends on the venue. Ask when you book which covered spaces are held for you and whether switching changes the price.
