How to Choose a Conference Venue in Hanoi
The venue shapes your conference more than almost any other decision. It affects how people feel, how well they hear and see, how easily they move between sessions and how much your event costs. Here is a practical checklist for choosing a conference venue in Hanoi.
1. Start with the agenda
Write down what happens each day: plenary sessions, breakouts, meals, networking, team activities and evening events. The venue should fit this program, not the other way round.
2. Location and access
Is the venue easy to reach from the hotels where guests stay, or from your office? How long are transfers at rush hour? Hanoi traffic can be heavy between about 7 and 9 am and 5 and 7 pm, which matters for morning start times.
3. The plenary room
- Capacity in your chosen layout: theater, classroom, cabaret or banquet
- Ceiling height for the stage and LED screen
- Pillars or obstacles that block sightlines
- Natural light and blackout options
- Load-in access for stage and equipment
4. Breakout and networking space
Breakout rooms close to the main hall save time and keep energy up. Check where coffee breaks will be served and whether there is space for sponsors or exhibitions.
5. Technical setup
Find out what in-house AV the venue provides and whether outside suppliers are allowed. Check power, internet bandwidth for hybrid sessions and the venue’s rules on rigging. Our sound, lighting and LED team can fill the gaps.
6. Food and breaks
Ask for sample menus, options for dietary needs, and how quickly the venue can serve a large group at lunch. Long lunch queues are one of the most common complaints at conferences.
7. Contracts and timing
Check deposit and cancellation terms, minimum spend, setup and take-down times, and what happens if your numbers change. Ask for provisional holds while you compare options.
Frequently asked questions
How early should we book a conference venue in Hanoi?
Eight to twelve weeks is comfortable for most conferences. For large events or the November to January season, start earlier.
Should we choose a city hotel or a resort?
City hotels are convenient for short conferences. Resorts outside Hanoi suit offsites where you want fewer distractions and space for team activities.
Can we add team building to a conference?
Yes. A short team building session is a great way to break up a long agenda.
